Administrative Assistant - General Maintenance

Your Opportunity

Provide day to day support to the operations of the General Maintenance department. Support includes working with mechanics, outside vendors, and inter-company personnel. Data entry, planning, filing, processing invoices are all important tasks of this job.

Core Responsibilities

  • Process payroll
  • Process invoices to pay bills and research invoices as needed
  • Data entry such as invoices, purchase orders, and work orders into the company system
  • Make corrections and generate reports from database systems
  • File documents and make copies
  • Answer telephone and transfer calls or take messages
  • Other duties as assigned by management

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • High school diploma or GED required.
  • Ability to prepare reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Computer literate in Microsoft software with the ability to use various company database systems (moderate training provided to database systems)
  • Ability to operate standard office equipment.
  • Able to interact with a diverse group of individuals.
  • Must have good customer service skills

Work Environment

  • While performing the duties of this job, the employee is frequently required to stand, walk, and sit.
  • The employee is frequently required to use hands to type, handle or lift objects, tools, or controls.
  • The employee must be able to lift up to 20 pounds.
  • The employee must be able to climb up and down stairs.
